Job Overview:


Are you skilled in project management and passionate about driving innovation through successful grant proposals? XTEND Digital Campus is looking for a dedicated Projects & Bid Coordinator to support our dynamic team. Reporting to the Head of XTEND Digital Operations, you will play a critical role in ensuring the seamless execution of digital projects and securing funding for our Research and Development initiatives. This role involves monitoring project deadlines, fostering team collaboration, and preparing compelling grant proposals to fuel our technological advancements.


Duties & Responsibilities

  • Develop project plans, schedules, and allocate resources.
  • Distribute project-related documents and materials.
  • Maintain accurate project documentation.
  • Monitor project tasks, milestones, and deadlines.
  • Identify and escalate potential risks or issues.
  • Prepare progress reports and presentations.
  • Assist in project budget preparation and management.
  • Ensure compliance with organisational policies and procedures.
  • Coordinate project meetings, prepare agendas, and distribute materials.
  • Foster a collaborative work environment within project teams.
  • Facilitate effective communication among team members and stakeholders.
  • Implement process improvements and best practices.
  • Participate in project retrospectives and lessons learned sessions.
  • Contribute to the development of project methodologies and tools.
  • Conduct research to identify relevant grant and bid opportunities.
  • Maintain a database of funding opportunities and deadlines.
  • Evaluate eligibility criteria and ensure compliance with grant requirements.
  • Prepare proposals, including narratives, budgets, and documentation.
  • Collaborate with subject matter experts to gather information for applications.
  • Monitor submission processes to meet deadlines and requirements.
  • Maintain records and documentation related to grant activities.
  • Ensure compliance with contract terms and conditions.
  • Prepare reports and updates on grant activities and funding secured.
  • Communicate with internal stakeholders, funding agencies, and partners.


Job Requirements:

  • Relevant experience in Project Management, Business Administration, or a related discipline.
  • Experience in monitoring project tasks, milestones, and deadlines.
  • Knowledge of budgeting and financial management principles.
  • Experience in identifying potential project risks and issues.
  • Knowledge of contract terms related to grants and bids.
  • Excellent written and verbal communication abilities.
